Leave of Absence Information
Faculty are generally expected to be in residence from the beginning of the fall quarter through the end of the spring quarter and should obtain advance approval for absences during the academic year.
Contact your Academic Personnel Coordinator for guidance on childbearing leave, military service, FMLA, government service, and other leave-related questions.
General Information
- Approval can take several months.
- Formal requests should be submitted at least one full quarter in advance.
- Exceptions to policy may require additional review time.
- Compensation from all sources may not exceed 100 percent of UC San Diego salary and must be approved in advance.
- If you will be traveling, review UC San Diego travel guidance.
Absence Up to 10 Service Days
- Requires advance approval from the department chair.
- Commonly used for conference travel or off-campus presentations.
- May require replacement instructor coverage for courses.
Change of Work Location (10 to 60 Service Days During a Non-Teaching Quarter)
- Normal duties are performed from a remote location to support research, teaching, or conference activity.
- Official duties are generally not reassigned.
- Typically limited to a non-teaching quarter.
- A written request to the department chair is required and divisional approval may be needed.
Leave Greater than 10 Service Days
- Requires an Academic Leave of Absence or Sabbatical request prepared through Academic Personnel.
- Requires approval from department and divisional leadership.
- Provide start and end dates, leave purpose, leave location, and pay status.
- If applicable, include outside invitation letters and documentation of proposed outside compensation.

Between 11 and 30 Service Days
- May involve forfeiture of sabbatical credit at a preset rate.
- May require replacement instructor coverage.
Greater Than 30 Service Days (Sabbatical)
- A written report of activities is generally required within 90 days of return.
- Used for scholarly activity.
- Sabbatical credits accrue and are expended according to UC policy.
- Normal pay and benefits may continue, depending on leave structure.
- University service is typically not required during the leave period.
- Sabbatical-in-residence may allow reduced credit usage when teaching requirements are met.
Greater Than 30 Service Days (Leave Without Pay)
- Used when outside funding supports the leave or when no UC San Diego pay is received during the leave period.
- May require prior approval for outside professional activity through the Category I Activity Request Form (PDF).
- Benefits may be continued or discontinued depending on eligibility and premium arrangements.
Department Self-Governance and University Service
Faculty are expected to contribute to departmental and university service, including committee work, commencement participation, and mentorship of faculty and graduate students.
Departmental Administration
When a vacancy exists, the Chancellor or designee appoints a department chair after consultation with relevant faculty and academic leadership. Terms typically range from three to five years.
Departmental Committees
Ad hoc and standing committees may be assembled as needed, typically before the start of the academic year. Examples include:
- Excellence Committee: reviews and documents instructional effectiveness in academic review files.
- Faculty Recruitment Committee: supports faculty hiring and recruitment.
- Graduate Admissions Committee: reviews applications and makes recommendations on admission.
- Workload and Teaching Load Committee: examines faculty teaching assignments and equity issues and advises department leadership.
Academic Senate Committees
- Committee on Academic Policy: discusses university-wide academic matters and advises senior leadership.
- Representative Assembly: discusses and acts on legislative matters through elected department representatives.
